How to Calculate Work Hours

To calculate hours worked, subtract your clock-in time from your clock-out time, then subtract any unpaid break time. The formula is:

Total Hours = (Clock-Out Time - Clock-In Time) - Break Duration

Example: If you clock in at 9:00 AM and clock out at 5:30 PM with a 30-minute lunch break:

  • Gross hours: 5:30 PM - 9:00 AM = 8 hours 30 minutes
  • Break deduction: 30 minutes
  • Net hours worked: 8 hours 0 minutes = 8.00 decimal hours

For weekly calculations, add each day's net hours together. Hours exceeding your overtime threshold (typically 40 hours/week) are classified as overtime hours and may qualify for 1.5x or 2x pay rate under FLSA regulations.

US Overtime Rules (FLSA)

Under the Fair Labor Standards Act (FLSA), non-exempt employees must be paid overtime for hours worked beyond 40 hours per workweek at a rate of at least 1.5 times their regular pay rate.

  • Federal overtime: 1.5x after 40 hours/week
  • California: 1.5x after 8 hours/day, 2x after 12 hours/day
  • Alaska: 1.5x after 8 hours/day and 40 hours/week
  • Colorado: 1.5x after 12 hours/day or 40 hours/week

Some states have additional daily overtime rules. Always check your state's labor laws for the most accurate overtime calculations.

Frequently Asked Questions

How many work hours are in a year?

A standard full-time work year has 2,080 hours (40 hours/week x 52 weeks). After subtracting 10 vacation days and 11 holidays, the actual number is typically around 1,912 hours.

How do I calculate hours worked from a time card?

Subtract the clock-in time from the clock-out time, then subtract any unpaid breaks. For example, 8:30 AM to 4:45 PM with a 30-minute lunch = 7 hours 45 minutes net.

How many work hours in a week?

The standard full-time work week is 40 hours (8 hours/day x 5 days). Part-time is typically considered anything under 35 hours per week.

How do I calculate overtime hours?

Under federal FLSA rules, any hours over 40 per week are overtime. Multiply overtime hours by 1.5x your regular rate. Some states (like California) also require daily overtime after 8 hours.

What is decimal time and why is it used?

Decimal time converts hours and minutes into a decimal format (e.g., 7h 30m = 7.50). This makes payroll calculations easier because you can directly multiply decimal hours by your hourly rate to get pay.

Should lunch breaks be deducted from work hours?

Unpaid lunch breaks (typically 30-60 minutes) are not counted as work time under FLSA. However, short rest breaks (5-20 minutes) must be paid. Our calculator lets you specify your break duration for accurate results.

How many work weeks are in a year?

There are 52 work weeks in a year. However, after subtracting vacation and holidays, most full-time employees work approximately 48-50 weeks per year.

How do I convert minutes to decimal hours?

Divide the minutes by 60. For example: 15 min = 0.25, 30 min = 0.50, 45 min = 0.75, 20 min = 0.33. Our calculator does this automatically.

Is my data saved?

Your timesheet data is saved only in your browser's local storage. No data is sent to any server. Your work hours stay completely private on your device.

How many hours is part-time per week?

While there's no federal definition, part-time is generally considered less than 35 hours per week. The Affordable Care Act (ACA) defines full-time as 30+ hours/week for insurance purposes.
